App privacy
This notice covers the Load Relay driver app and its delivery workspace. The business named in your assignment coordinates the delivery and receives its tracking and proof-of-delivery information. The current pilot business is Vision Professional Group LLC, doing business as Vision Landscape Supply. Its shipment and SMS privacy policy is linked below.
Company owner accounts
Company owners register with email and password through Firebase Authentication and verify their email before creating a workspace. The service stores the company name, owner identity, membership, and verified notification address. Signed delivery packets go only to that company's configured recipient. You can delete your owner account from Company sign-in. This deletes the login and memberships, retains an internal deletion marker to prevent access being recreated, removes owner contact routing, and closes workspaces you own. Saved shipment records remain retained for business records as described below; contact support about deleting those records.
Company setup and optional AI design
Owners can invite staff using their work email. Invitations expire after seven days and require that same verified email. Owners can see member identities and remove dispatcher access. The service stores membership, invitation status and a record of team changes for operation and support, with no automatic deletion period yet. Invitation links are shared directly by the owner; creating one does not send an email. Each staff member uses an individual Firebase account and can delete their login through Company sign-in.
Owners can save business details, private sample paperwork and branding drafts. Sample paperwork is available only to the company owner and is not a live delivery or signing template. A logo becomes publicly viewable when the company design is approved and published. Draft and published settings, sample files and a record of setup changes remain stored for operation and support; there is no automatic deletion period for these records yet.
The optional AI design workflow uses OpenAI after the owner consents to AI customization. Automatic design requests include the company name, selected company logo, current design settings and design instructions. The setup assistant may also include industry, team size, estimated load volume and owner-entered design preferences. Authorized administrators can request revisions using the same company design information. Account details, business addresses, emails, sample paperwork, delivery records, signatures and GPS are excluded from these requests. Do not include private information in design preferences or revision instructions. Requests use the provider's non-stored-response setting; provider processing and retention policies still apply. Generated designs are validated and reviewed by Load Relay administrators before activation.
Company activity
The service records company-level counts of created loads, completed drops, uploaded documents, uploaded file sizes and produced delivery-packet sizes, with operation identifiers and timestamps for deduplication. Monthly summaries are available to the company owner and authorized platform administrators. Current activity measurement does not enable billing.
Feature requests and platform support
Company owners can submit feature requests containing a title and description, and follow their review status. These requests are available to the company owner and authorized Load Relay platform administrators. Platform support records the administrator, selected company, review reason, status or design change, revision and time. Design versions are retained for restore. These requests and support records are not automatically sent to the AI setup assistant.
Information used for your assignment
The service stores driver and carrier names, contact details supplied by dispatch, pickup and drop details, ticket numbers, tracking status, uploaded documents and photos, receiver names and signatures, and signed delivery packets. Authentication and delivery invitation tokens restrict access to the assigned company and delivery. Technical request information may be processed by hosting, storage, and communications services to operate and protect the service.
Optional location sharing
Opening a delivery does not start location collection. When you choose Start tracking and grant permission, the app collects precise location, capture time, and available accuracy, speed, and heading information for the assigned load. With background location permission, collection can continue while the app is in the background or the phone is locked. The web browser version depends on the page remaining active.
Location updates are sent to the service so the assigned business can view delivery progress. One session covers every stop on the same load. An intermediate proof of delivery does not end tracking. You may pause sharing or close the delivery; completing the final drop ends sharing. Authorization expiry, revoked access, device settings, connectivity, and the operating system can also interrupt tracking.
Information on your phone
The native app keeps active delivery credentials in secure device storage and a bounded queue of recent unsent location samples in its private app storage. The queue is limited to 25 samples and samples older than 15 minutes are discarded. Accepted samples are removed from that queue. Stopping tracking clears the local location queue and active tracking credential. Delivery access may remain saved so you can reopen paperwork.
Documents, camera, and signatures
Documents, photos, scans, and receiver signatures are submitted when you choose to upload or complete a drop. Camera access is requested for camera features. Each stop has its own delivery packet. Where dispatch prepares signature boxes, handwritten signatures are placed in copies of the uploaded paperwork; original files are preserved. Discrepancy text requires a separate handwritten acknowledgment and is retained in full in the packet. Document and signature fingerprints, signing purposes, acknowledgments and completion times are stored in the delivery audit record. Files shared using the phone's share sheet are sent to the destination you select.
Who receives information
The business coordinating your delivery receives its delivery data, including shared locations and proof of delivery. Service providers process information for hosting, storage, and operational communications. Do not upload unrelated personal information into delivery documents. SMS consent information is not shared for third-party marketing; see the pilot's SMS policy below.
Retention and your choices
Stopping location sharing does not delete location history, uploaded paperwork, or signed delivery records already received by the service. Those records remain available to the coordinating business for shipment records and support. There is currently no automatic deletion period for server-side delivery records. Contact that business to request access, correction, or deletion; some records may need to be retained for applicable business or legal obligations.
You can pause tracking in the delivery screen and change location or camera permissions in your device settings. The driver app does not require a driver account. Paperwork and sign-off remain available without starting location sharing.
